How to Use the Zoom Integration
Scheduling a Zoom Meeting
From the Calendar
- Navigate to the Calendar section in your MentorSimply dashboard
- Click on the desired date and time slot to create a new appointment
- Fill in the appointment details (title, client, duration)
- Under "Meeting Type," select Zoom Meeting
- Configure any additional Zoom settings if needed (waiting room, password, etc.)
- Click Save to create the appointment
From a Client Profile
- Navigate to the Clients section
- Select the client you wish to schedule a meeting with
- Click the Schedule button
- Fill in the appointment details
- Select Zoom Meeting as the meeting type
- Click Save to create the appointment
Managing Zoom Meetings
Viewing Upcoming Meetings
- Go to your MentorSimply dashboard
- The "Upcoming Sessions" widget shows your next scheduled meetings
- Zoom meetings are marked with the Zoom icon
Editing a Meeting
- Find the meeting in your calendar
- Click on the meeting to open the details
- Click Edit
- Make your changes
- Click Save to update the meeting
Canceling a Meeting
- Open the meeting details
- Click Cancel
- Confirm the cancellation
- Both you and your client will receive cancellation notifications
Hosting a Zoom Meeting
Starting a Scheduled Meeting
- Navigate to your dashboard
- Find the meeting in your "Upcoming Sessions"
- Click Start Meeting (becomes available 15 minutes before the scheduled time)
- You'll be redirected to Zoom to host the meeting
During the Meeting
As the host, you can:
- Record the session (with client consent)
- Share your screen
- Use the whiteboard feature
- Manage participants
- Use breakout rooms (if available on your Zoom plan)
After the Meeting
After completing a Zoom session:
- The meeting will be marked as "Completed" in your MentorSimply dashboard
- You can add session notes
- If you recorded the session, you can access the recording from your Zoom account
Troubleshooting
If you encounter issues:
- Ensure your Zoom integration is still connected (check Integrations in Settings)
- Try refreshing your browser
- Make sure you have the latest version of the Zoom client installed

Tips for Effective Online Sessions
- Join the meeting a few minutes early to test your audio and video
- Use a stable internet connection
- Consider using a headset for better audio quality
- Have a professional background or use Zoom's virtual backgrounds
- Close unnecessary applications to improve performance
